Hotel Regulations

1. The regulations apply to all persons staying at the Hotel Jelenia Struga Medical Spa, ul. Podgórze 55, 58-530 Kowary
2. The guest's guardian is the hotel reception, ext. 400.
3. In case of the guest's cancellation of the stay during the day, the payment for that day is non-refundable.
4. The basis for guest registration is the completion of the guest card.
5. The person making the reservation is obliged to provide accurate data: name and surname, phone number, e-mail, type of booked room, number of persons, and length of stay to make the reservation. This data will be used solely to enable the full reservation process and for marketing purposes, in accordance with the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016. The data controller is Jelenia Struga MEDICAL SPA Sp. z.o.o, ul. Podgórze 55, 58-530 Kowary, tax ID: 6112628600. Personal data is processed for the purpose of booking accommodation and providing hotel services. Providing personal data is voluntary but necessary for the service. Data collected for the provision of hotel services will be processed for the period specified by law, or in the case of consent-based data, until its withdrawal. You have the right to access the data, correct it, transfer it, receive a copy of the personal data processed by the hotel. Additionally, you have the right to withdraw consent at any time, demand restriction of processing, deletion, and the right to be forgotten regarding marketing data.
6. During the entire stay in the hotel, children under 14 must be under constant care and supervision of adults. Legal guardians are responsible for children's behavior, including any damage caused by them. Child age verification is done upon check-in based on official ID: Passport, Identity Card, School ID.
7. Rooms are rented per night.
8. Bringing food, alcoholic and non-alcoholic beverages from outside is prohibited in rooms and public areas.
9. The hotel day lasts from 14:00 to 12:00. Arrivals before 14:00 or departures after 12:00 incur an additional charge of 50% of the room rate. On Sundays, the hotel day ends at 15:00 and begins at 17:00.
10. If the guest has not specified the length of stay when renting the room, it is assumed the room was rented for one night.
11. Requests to extend the stay beyond the initially agreed period should be reported at the reception by 10:00 on the day the room rental expires.
12. Staying in the room after 13:00 is considered an extension of the stay.
13. The hotel will consider extension requests subject to room availability.
14. The hotel is obliged to ensure: full and unrestricted rest conditions for the guest, safety during the stay, confidentiality of guest information, professional and courteous service.
15. Upon guest request, the hotel provides the following free services: information related to stay and travel, wake-up calls, safe deposit for money and valuables during the stay, luggage storage for registered guests.
16. The guest should notify the hotel reception of any damage immediately upon its discovery.
17. The hotel’s liability for loss or damage of money, securities, valuables, or objects of scientific or artistic value is limited if these items are not deposited with the hotel safe.
18. The hotel reserves the right to refuse to accept highly valuable items or large amounts of money into deposit.
19. The hotel is not responsible for damage or loss of vehicles owned by guests.
20. The guest is materially responsible for any damage or destruction of hotel property or technical equipment caused by themselves or their visitors.
21. A fee of 100 PLN gross is charged for loss of hotel room keys.
22. Guests may not transfer the room to third parties even if the paid stay period has not expired.
23. The hotel accepts guests traveling with pets for an additional fee; the guest is fully liable for any damages caused by the pets.
24. Pets must be kept on a leash in public areas. For hygiene reasons, pets are not allowed in the hotel restaurant and Pub&Bowling.
25. Smoking is prohibited in hotel rooms, balconies, corridors, staircases, restaurant, and reception hall. The penalty for violation is 1000 PLN.
26. It is forbidden to keep hazardous materials, weapons, or ammunition in rooms.
27. Unregistered persons may stay in hotel rooms between 7:00 and 22:00.
28. Quiet hours are from 22:00 to 7:00.
29. For fire safety reasons, use of heaters, electric kettles, and similar devices not provided as hotel room equipment is prohibited. This does not apply to chargers and computer power supplies.
30. The hotel may refuse service to guests who previously grossly violated the regulations by damaging hotel property or causing disturbances. Such persons must comply immediately with hotel staff requests, including paying for damages and leaving the premises.
31. Personal belongings left by departing guests will be sent to an address provided by the guest. Without such instruction, items will be stored for 1 month, after which they become hotel property.
32. The hotel reserves the right to charge the guest's payment card for damages found after departure, or seek financial compensation if card details are unavailable.
33. Any defects or damages in the room must be reported immediately to reception or floor service.
34. Cancellation conditions and group regulations:
    • In case of event cancellation:
      • Between 20 and 15 days before the planned stay, the contractor may keep 50% of the deposit,
      • Between 14 and 7 days before the planned stay, the contractor may keep 75% of the deposit,
      • Between 7 and 4 days before the planned stay, the contractor may keep 100% of the deposit.
    • In case of cancellation less than 4 working days before the event start, the client is obliged to cover the full cost as ordered,
    • If ordered services are not used in the quantities specified in the calculation due to reasons beyond the contractor, the client agrees to cover all ordered services. Changes in participant numbers must be reported 7 days before the stay; otherwise, the calculation will be based on the original numbers.
    • Hotel day lasts from 14:00 to 11:00
    • Cancellation must be made in writing under penalty of invalidity.
    • The organizer is financially responsible for all damages caused by their guests/participants. Smoking is strictly prohibited throughout the facility (rooms, toilets, public areas). Violation penalty: up to 1000 PLN. Glass is prohibited at the pool; violation penalty: 5000 PLN gross. Consumption of outside alcohol is prohibited in public areas (lobby, pub, restaurant, library, bonfire area), with the threat of early termination and guest expulsion. The hotel is not responsible for items lost or left by participants.
35. Jelenia Struga MEDICAL SPA sp. z o. o. reserves the right to refuse service to persons who do not declare if they possess an EU COVID certificate or are unvaccinated. A written declaration is required at check-in.
    • From 8 May 2020 until further notice, the Hotel must comply with regulations by the Polish Government and Chief Sanitary Inspectorate regarding hotel operations during the COVID-19 epidemic, aiming to increase safety and health protection for guests and staff.
      • According to the Regulation of the Council of Ministers of 14 December 2021, the limit in restaurants, bars, hotels, cinemas, theaters, sports and worship facilities was reduced to 50%. Increasing the limit is allowed only for vaccinated persons, verified by the COVID-19 certificate.
        • The regulation stipulates that vaccinated persons showing an EU digital COVID certificate or equivalent proof are not counted in occupancy limits to facilitate free movement during the pandemic.
36. Due to COVID-19 restrictions and requirements, the hotel reserves the right to charge a guest an additional fee for room changes during their stay.
